New Hiree Reporting

    New Hire Reporting for Child Support.  I just started at a new company, and they have not been New Hire Reporting for child support, etc. within 20 days of hiring new employees.  Just checking that this is still mandatory before I loop the Controller into this situation.

    Thank you!  I have started the process of reporting.  Do you happen to know how far back I should go when reporting since it hasn't been done?

    Consult the business counsel. Not something you should trigger on your own, without letting the employer handle their decision.

    Logically, I would report Jan 1 to current. Those prior unreported would have likely been caught by filing their tax returns. If you have some who earn low enough they may fail to file, report those too. I fall on the side of helping those with the support order, so I would take any penalty and report some reasonable period back.

    Don't forget there is reporting for rehires too (outside of a short window).

    Hard earned advice. I have seen the games those subject to those orders will play, employer hopping, IC games, etc. I report new hires the first day I am allowed. Waiting until the last day is just more time the beneficiary may have to wait for funds.

    Since you report them, do you use the Multistate Employer Website, do you do it by paper?  I got lucky and only had to confirm with my 3rd party payroll provider that it was being done timely, but never manually like this.

    Sending paper, no. Personally, I print an acceptable report, and fax it. I can keep a receipt of the completed fax, as well as the paper.

    Of my customers, none ever really ask about new hire reporting. We create a paper report which is acceptable by most states, and they fax, mail, or use the info for online reporting. I pound into my customers to keep paper records (and avoid giving away search and seizure rights by having only e-data), so printing and faxing/mailing is very viable and makes it easy to comply with record retention.

    We have 20+ states, so you would do that for each state?  I think I would rather register for the multiple state website and report it once, what are your thoughts on that process?

    If I allowed multiple states, and there was a one stop solution, I would use it. (I am an employee, employer, and payroll software dev, so my perspective may be different than most here.

    I found the attached document online today. 

    I also went and registered for access to this site and am awaiting my final registration information via email.

    All the research I have done says that I can use one state resource for all of our new hire reporting.

    @Melissa Johnson  Yes you are correct that you can report all new hires to one state.    My company is in over 40 states and we report ALL new hires to one state.

    Thanks @Lynn Willis, CPP  -  How did you start your New Hire Reporting steps?  Did you go through the site I have listed, or did you have a handy trick that I did not mention?

    @Dennis Pearson - Maybe we helped you today with a better process.  Gotta love payroll pro's!

    Indeed, I learned about the one stop report process. Something I can share with customers if one asks.

    We have an Integration that runs every 14 days to report our New Hires and re-hires to one state (we are in 48 states).  The Integration stopped running and due to staff turnovers we didn't know this happened.  To make a long story short, we ran a catch up file to send almost one year of data in.  We ended up with many new IWO's.  I'm glad we got caught up.  Our tax provider provided the tech support to get the Integration set up and then fixed so it would run again.  We don't report on paper, too many employees.
